At Creative Characters, we preflight all files that come to us to ensure these issues do not interfere with the production of your printing project. If we find a problem with the file you've submitted, we'll contact you to let you know so it can be corrected. The top problems are: &lt;/span&gt;&lt;/span&gt;&lt;br /&gt;&lt;div class="MsoNormal" style="font-family: Arial,Helvetica,sans-serif;"&gt;&lt;br /&gt;&lt;/div&gt;&lt;ol start="1" style="font-family: Arial,Helvetica,sans-serif; margin-top: 0in;" type="1"&gt;&lt;li class="MsoNormal" style="line-height: 115%;"&gt;&lt;span style="font-size: small;"&gt;The resolution of images     is too low. &lt;/span&gt;&lt;/li&gt;&lt;li class="MsoNormal" style="line-height: 115%;"&gt;&lt;span style="font-size: small;"&gt;Fonts are not embedded     in the PDF. &lt;/span&gt;&lt;/li&gt;&lt;li class="MsoNormal" style="line-height: 115%;"&gt;&lt;span style="font-size: small;"&gt;The wrong color space is     used. &lt;/span&gt;&lt;/li&gt;&lt;li class="MsoNormal" style="line-height: 115%;"&gt;&lt;span style="font-size: small;"&gt;The information about     trim or bleed are incorrect.     &lt;/span&gt;&lt;/li&gt;&lt;li class="MsoNormal" style="line-height: 115%;"&gt;&lt;span style="font-size: small;"&gt;There is an inconsistency with the native file. The original page, as viewed in     QuarkXPress or InDesign or whatever application was used for layout, looks different from     the PDF. Such as hairlines might be different or gradients may have changed. &lt;/span&gt;&lt;/li&gt;&lt;li class="MsoNormal" style="line-height: 115%;"&gt;&lt;span style="font-size: small;"&gt;A spot color is misnamed     or it is accidentally converted to a process color. &lt;/span&gt;&lt;/li&gt;&lt;li class="MsoNormal" style="line-height: 115%;"&gt;&lt;span style="font-size: small;"&gt;Images are compressed     too much. When reading an advertisement, people have a tendency to procrastinate – to put the advertisement aside and consider it later. A sense of urgency helps overcome this tendency by providing a reason to &lt;br /&gt;act immediately.&lt;br /&gt;&lt;br /&gt;There are two common ways to create a sense of urgency: offer a reward for prompt action, or assess a penalty for not acting. Some examples of a reward include a free gift for responding or a bonus with purchase; an example of a penalty is a limited supply of the product or service being offered or a sale that lasts for a defined period of time.&lt;br /&gt;&lt;br /&gt;A sense of urgency works by creating scarcity – the reader must act by a given deadline. Very large corporations or businesses find these answers with research, focus groups and other techniques outside the budget of a small business or local non profit organization. &lt;br /&gt;&lt;br /&gt;So then, how can you get the information you need? An excellent way is to ask your top customers. Most businesses follow the Pareto Principle, better known as the 80-20 Rule. As applied to business, the Pareto Principle states that 80% of sales come from 20% of customers, making the task of surveying customers a lot more manageable. Here is what you want to learn from a combination of survey questions and what you already know about your customers:&lt;br /&gt;&lt;ul&gt;&lt;li&gt;What demographic characteristics do your customers share? For individuals, this could include age, marital status, household income, ethnicity, etc. For businesses and organizations, SIC code, annual sales, number of employees, etc.&lt;/li&gt;&lt;li&gt;What separates your product or service from those of your competitors? Look for measurable characteristics like better performance, more features and benefits, on time delivery, ease of ordering, etc.&lt;/li&gt;&lt;li&gt;What motivates your customers to buy? Made of titanium (a feature) is less persuasive than will last a lifetime (a benefit).&lt;/li&gt;&lt;li&gt;Use a topic sentence for each paragraph. A topic sentence is the theme or main idea for the paragraph and is usually the first or last sentence. All sentences in the paragraph support the topic sentence by providing evidence or a persuasive argument.&lt;/li&gt;&lt;li&gt;Present evidence. By citing accepted positions, research or statistics, you’ll be giving the reader more than your opinion and be building credibility. This is especially important if you are developing a new or counter intuitive idea.&lt;/li&gt;&lt;li&gt;Provide a specific offer. No matter what you are selling – a product, service or idea – it has to be specifically stated to be accepted. Without a clear, even bold offer, you risk the reader misinterpreting what you have said.&lt;/li&gt;&lt;li&gt;End with a summary. In a monospaced font, every letter takes up the same amount of space as every other. Putting two spaces after a period creates extra space and helps signal the reader that the sentence has ended. In contrast, a proportional font varies the space assigned to each letter, making words easier to read because the letters are closer together and making extra space after a period unnecessary. In fact, putting two spaces after a period in a proportional font can create a gap that is visually unappealing.&lt;br /&gt;&lt;br /&gt;With typewriters, underlining was one of the few ways to create emphasis. Computer type has italics, bold or a different point size available to create emphasis. For over 40 years, it's mission has been to protect and conserve the environment. Dr. Patrick Moore, co-founder of Greenpeace, had this to say recently "Forestry is the most sustainable of all the primary industries that provide us with energy and materials. To address climate change we must use more trees, not less. Using trees sends a signal to the marketplace to grow more trees." Dr. Moore advocates that print is the renewable way a responsible world communicates.&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-size: small;"&gt;Just last month, I read an article in the &lt;i&gt;Wall Street Journal&lt;/i&gt; specifically about printing emails. It was authored by two men with first-hand knowledge about trees, recycling, environmental issues and forests. The authors are Carlton Owen and Chuck Leavell. Mr. Owen is the CEO of the U.S. Endowment for Forestry and Communities. He is a forester and wildlife biologist. Mr. Leavell is a tree farmer, environmentalist, musician and author. To be sure your design is successful, remember the &lt;span style="color: #073763;"&gt;&lt;b&gt;Three Cs: Consistent, Conservative and Contrast&lt;/b&gt;.&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;i style="color: #073763;"&gt;&lt;b&gt;Consistency &lt;/b&gt;&lt;/i&gt;addresses the format of your newsletter. If printing in black with an accent color, select a color palette and maintain it throughout each issue. If it's an e-newsletter, use consistent color choices and don't create a masterpiece of your own. Color is used to emphasize the message, not the message itself. Use an underlying grid to organize each page, story or section. If your newsletter is short (4 pages/stories or less), use the same grid for each page. Use templates and style sheets to control headlines, subheads and body copy.&lt;br /&gt;&lt;br /&gt;Be &lt;i&gt;&lt;b&gt;&lt;span style="color: #073763;"&gt;conservative &lt;/span&gt;&lt;/b&gt;&lt;/i&gt;in the use of fonts and graphic elements, especially in a short newsletter. A good rule of thumb is to limit the number of photos, graphic accents or clip art to one or two per page. Pick a photo that means something. Random handshakes rarely say anything at all except "I'm here to fill space". Select one font for body copy and another for headlines, and use these exclusively. Stylize the two fonts with italics, bold, and condensed, but do not introduce additional fonts.&lt;br /&gt;&lt;br /&gt;Use &lt;i style="color: #073763;"&gt;&lt;b&gt;contrast &lt;/b&gt;&lt;/i&gt;to direct the reader’s eye and to establish the hierarchy of importance. Headlines should contrast with body copy and with subheads. Drop caps, extra-large initial caps, or an illustrated capital will draw the reader’s eye and create graphic interest. Use white space in the form of gutters and margins to lighten up dense body copy. &lt;br /&gt;&lt;br /&gt;Improving the design of your newsletter will pay dividends in reader interest and accessibility. It can enhance the perception of your company in the community. And it is one of the first things you can do as the leader of your company to start developing your reputation as an expert in the community. A well designed newsletter with interesting current topics is often passed along to colleagues or taken home to give to family and friends.
